# How to Share an Excel File Securely (2026): 4 Methods Compared

Updated 8 November 2026 · HelpRange

To **share an Excel file securely** you first have to decide what "secure" means for this file: that only the right people can open it, that nobody can change it, or that nobody can keep or pass on a copy. Excel's own passwords cover the first two – once the file is sent, it is out of your hands. OneDrive, SharePoint and Google Sheets keep the file in the cloud and let you block downloads for some links. A view-only tracked link keeps the workbook on the server, shows each reader the sheet with their e-mail as a watermark and tells you which sheet they read and for how long. This guide compares the options and how to set each one up.

Updated 8 November 2026. Microsoft and Google help pages read on 8 November 2026 (linked below). Disclosure: HelpRange is our product.

## Ways to share an Excel file – and what each one stops

| Method | Reader gets | Stops strangers opening it | Stops a copy being kept or forwarded | Who read what | Can you take it back? |
|---|---|---|---|---|---|
| E-mail attachment | The .xlsx file | No | No | No | No |
| Excel "Encrypt with Password" | The file + a password | Yes | No – the password travels with the file | No | No |
| Protect Sheet / Protect Workbook | The file | No | No (it only stops edits) | No | No |
| OneDrive / SharePoint view-only link with "Block download" | The workbook in Excel for the web | Yes, with "specific people" links | Mostly (no download, print or copy) | Basic (file activity for work accounts) | Yes |
| Google Sheets, viewer access, download/print/copy off | The sheet in the browser | Yes, when shared with named people | Mostly | Limited (activity dashboard on Workspace) | Yes |
| View-only tracked link (HelpRange) | The sheet in the browser, watermarked with their e-mail | Yes – e-mail check, passcode, NDA | Yes – no file is sent; leaks are traceable | Yes – each sheet tab and time spent | Yes – revoke, expiry date, views limit |

No method stops someone photographing the screen. What you can control is whether there is a file to forward, whether a leaked screenshot names the person who took it, and whether you can switch access off.

## Excel's own protection – and its limits

Excel has three different "protect" features, and only one of them is security:

- **Password to open (encryption).** *File → Info → Protect Workbook → Encrypt with Password. Without the password nobody can open the file. Microsoft cannot recover a forgotten password ([Protect an Excel file](https://support.microsoft.com/en-us/office/protect-an-excel-file-7359d4ae-7213-4ac2-b058-f75e9311b599), read 8 Nov 2026). The weak point is that you have to send the password too – usually in the same e-mail thread – and anyone who has both can forward both. For step-by-step instructions on Windows and Mac see [how to protect an Excel file with a password](https://www.helprange.com/blog/protect-excel-file-password).
- **Protect Sheet.** Locks cells against editing. Microsoft is explicit that this is not a security feature: worksheet protection "isn't intended as a security feature" and only stops changes to locked cells ([Protect a worksheet](https://support.microsoft.com/en-us/office/protect-a-worksheet-3179efdb-1285-4d49-a9c3-f4ca36276de6)). Every value is still in the file.
- **Protect Workbook (structure).** Stops sheets being added, deleted, renamed or unhidden. Again not encryption ([Protection and security in Excel](https://support.microsoft.com/en-us/excel/protection-and-security-in-excel)). A "hidden" sheet with internal margins is still in the file you sent.
- **Mark as Final.** A banner that discourages editing; Microsoft says it "is not a security feature" and anyone can remove it ([Help prevent changes to a final version](https://support.microsoft.com/en-us/office/collab-files/help-prevent-changes-to-a-final-version-of-a-file)).

Use the open password for files that must travel as files – for example to an accountant who needs to work in them. For files a person only needs to *read – a price list, a financial model for investors, a board pack, salary bands – sending the file at all is the risk. More on copying in [how to protect Excel from copying](https://www.helprange.com/blog/protect-excel-from-copying) and on forwarding in [how to stop an Excel file being forwarded](https://www.helprange.com/blog/how-to-prevent-forwarding-a-excel-file).

## OneDrive, SharePoint and Google Sheets sharing settings

**OneDrive and SharePoint (work or school accounts).** Share → link settings → "Can view" → turn on *Block download. Microsoft describes Block download as available for view-only sharing links: readers do not see download, print or copy and cannot open the file in the desktop or mobile apps ([Block downloads for view-only files](https://support.microsoft.com/en-us/onedrive/block-downloads-for-view-only-files-in-sharepoint-and-onedrive)). It is listed for OneDrive for work or school and your admin may have switched it off. Choose "Specific people" rather than "Anyone with the link", and set an expiry date if your plan offers it.

**Google Sheets.** Share → add people as *Viewer → Settings (gear icon) → untick the option that lets viewers and commenters download, print and copy ([Share and manage access in Google Drive](https://support.google.com/drive/answer/2494822)). Remember that editors can, by default, change permissions and share the file further, so give edit access sparingly. Converting a confidential .xlsx to a Google Sheet also means a second copy now lives in someone's Drive. For passwords on Sheets see [how to password-protect a Google Sheet](https://www.helprange.com/blog/password-protect-google-sheet).

Both are good when everyone is inside your organisation or already uses that cloud. They are weaker for outside readers: there is no watermark with the reader's name on the screen, and you see little about what was actually read.

## A view-only tracked link with a watermark

This is what HelpRange does with Excel files since November 2026 (feature overview: [the HelpRange Excel viewer](https://www.helprange.com/feature-excel-viewer)). You upload the .xlsx (or .csv) and send a link instead of the file. The reader opens it in the browser and sees a real spreadsheet – sheet tabs, the frozen header row, column widths, merged cells, number and date formats – with their e-mail, the date and time tiled over the sheet:
![A shared Excel workbook open in the HelpRange sheet viewer: the Deals sheet with a frozen header row, currency and percentage columns, sheet tabs at the bottom and the reader's e-mail tiled as a watermark](/static/images/guides/excel-sheet-viewer-watermark.jpg) The "Deals" sheet of a demo workbook as a reader sees it: tabs at the bottom, frozen header, the reader's e-mail as a watermark.

What is different from sending the file:

- **No file reaches the reader.** The values are sent to the browser one page of rows at a time, only to the browser session that opened the link. With downloading off there is no download or print, and copying is blocked. If you allow downloading, the reader gets the original workbook.
- **Results, never formulas.** The viewer shows the values Excel saved, not the formulas behind them, so your model's logic stays with you. Hidden sheets, rows and columns are not shown.
- **Every leak is traceable.** The watermark carries the reader's e-mail (or a buyer ID) – a screenshot names its source.
- **You decide who gets in.** E-mail verification with a code, a passcode, an NDA to sign first, an expiry date, a views limit, one reader at a time, and a "revoke" button that stops access even for a page that is already open.
- **Screenshot mask** (optional): only a band of the sheet around the pointer is readable at a time, which makes screenshots of the whole sheet hard.
![The sheet viewer with the screenshot mask on: only the rows around the mouse pointer are visible, the rest of the sheet is dark](/static/images/guides/excel-sheet-viewer-screenshot-mask.jpg) Screenshot mask: only the rows around the pointer are readable.

**You see which sheet was read and for how long.** Each sheet tab counts as a "page" in the statistics, so for a financial model you can tell whether the investor spent four minutes on the P&L and none on the cap table:

## How to share an Excel file as view-only (5 steps)

1. Upload the .xlsx or .csv to a folder in HelpRange (drag and drop).
2. Open the file's *Links & access and set protection: leave *Allow download & print off, switch on the watermark, and choose e-mail verification or a passcode.
3. Optional: an expiry date, a views limit, an NDA to accept before opening, the screenshot mask.
4. Copy the link and send it instead of the attachment. Each person can get their own link, so you can revoke one without touching the others.
5. Watch the statistics: who opened it, which sheets, how long, from where. Replace the file with a new version and the same links show the update.

For several workbooks at once (a due diligence pack, a tender) use a [data room](https://www.helprange.com/feature-virtual-data-room): the same viewer and protections, one link for the whole set.

## Which method to use

- **The reader must edit the file** (accountant, co-author): send it with an open password, or share it in OneDrive/Google with edit rights to named people.
- **Colleagues in your own Microsoft 365 or Google Workspace:** a view-only link with downloads blocked is usually enough.
- **Outside readers who only need to read** (investors, buyers, clients, candidates): a view-only tracked link with a watermark – no file to forward, a name on every screenshot and access you can switch off. Our [overview of platforms for sharing Excel files](https://www.helprange.com/blog/what-are-the-best-platforms-for-sharing-excel-files) compares more tools.

## Limits of the sheet view

The viewer shows values, formats and layout, not charts, images, conditional formatting colours or comments. Very large sheets show the first 5,000 rows and 100 columns (it says so on screen) and files over 20 MB are shown as PDF pages instead. Old .xls (Excel 97–2003) and .ods files are shown as PDF pages as well, and the owner can switch any link to PDF pages or to image mode, where the reader gets only watermarked page pictures.

## FAQ

### Can I share an Excel file so it cannot be downloaded?

Yes, if you share it as a link instead of a file. OneDrive and SharePoint offer "Block download" on view-only links for work or school accounts; Google Sheets can hide download, print and copy for viewers; a view-only tracked link such as HelpRange shows the sheet in the browser and never sends the file.

### Is a password-protected Excel file secure enough to e-mail?

"Encrypt with Password" is real encryption – nobody can open the file without the password. But the recipient gets both the file and the password and can pass both on, and you cannot revoke access or see who opened it.

### Does Protect Sheet stop people copying data?

No. Microsoft says worksheet protection is not a security feature; it only stops changes to locked cells. The data is still in the file.

### Can people see my formulas?

In the .xlsx file, yes – anyone with the file can see them. In HelpRange's sheet viewer, no: only the calculated values Excel saved are shown.

### Can I see who opened my spreadsheet?

With a tracked link, yes: each view is recorded with the viewer's e-mail (when you ask for it), the time spent on each sheet tab, the country and whether they downloaded it.

### Which files work in the sheet viewer?

.xlsx, .xlsm and .csv. Older .xls and .ods files open as PDF pages with the same protections.
