Data Room for One Deal or 3 Months (2026): One-Time vs Monthly Pricing Compared

Updated · HelpRange

Most data rooms are sold as subscriptions – monthly or, for the lower price, yearly. If you need a room for one fundraise, one sale or one tender that lasts a few weeks or months, that model makes you pay for time you will not use or commit to a year. This guide compares what a 3-month room costs on monthly plans, which providers offer short or one-time terms, and how to choose when the deal length is uncertain.

Prices read on vendors' pricing pages and in our sourced pricing posts, 5–6 November 2026. Disclosure: HelpRange is our product.

Why one-deal pricing is rare

Data room vendors earn most from advisers and banks who run deals all year, so pricing is built around ongoing seats or yearly commitments. Founders, business owners and property sellers usually run one process – a seed round that closes in six weeks, a sale that takes four months – and either overpay for a year or juggle monthly billing and cancellation. A founder's post on dev.to sums it up: "we needed a data room for 3 weeks and everything costs $300/month".

Your options for a single deal

  • A one-time pass – pay once for a fixed period. HelpRange's Deal Room Pass is $199 for 90 days with every data room feature (NDA before access, watermarks with each viewer's e-mail, activity reports, Q&A, guest uploads) for the whole team; another pass adds days if the deal runs long.
  • A monthly plan you cancel – fine if you remember to cancel and the per-user limit fits your team.
  • A short-term plan – some providers (e.g. SecureDocs' 3-month plan) price a quarter at a premium over their yearly rate.
  • A quoted project room – enterprise VDRs quote per deal; worth it for large, banker-run processes.
  • A cloud folder – free, but no per-viewer tracking, NDA gate or viewer watermarks; see Dropbox as a data room.

How long will your deal need the room?

Rough ranges from typical processes – your adviser's timetable is the better guide.

DealTypical time the room is open
Seed or Series A round4–12 weeks
Small business sale3–6 months from teaser to closing
Commercial property sale or refinancing2–4 months
Tender / RFP response2–8 weeks
Mid-market M&A4–9 months

If the timeline is uncertain, start with the shortest commitment and extend – a 90-day pass plus a second pass still costs less than one quarter on most monthly plans.

What a one-deal room must still include

  • NDA before the first document opens, with a record of who signed and when
  • Access per party, so one bidder or investor can be removed without affecting the others
  • View-only by default, downloads per folder, a watermark with each viewer's e-mail
  • Activity per party – which documents and pages they read
  • A numbered index – start from our due diligence checklists
  • An export of activity and Q&A when the deal closes

FAQ

Is there a data room without a subscription?

Yes. HelpRange's Deal Room Pass is a single $199 payment for 90 days; nothing renews when it ends. Some providers also sell short-term or per-project rooms.

How much is a data room for 3 months?

About $900–1,200 on typical monthly or 3-month plans from DocSend, SecureDocs, Onehub or CapLinked; $199 with a one-time 90-day pass.

What happens to my documents when a one-time pass ends?

With HelpRange, documents and links stay; data rooms and guest access pause until you buy another pass or a plan.

Is a one-time data room good enough for investors or buyers?

What matters to the other side is easy access and clear structure; what matters to you is NDA, watermarks, permissions and activity. Check those features rather than the billing model.
