Egnyte and HighQ Data Rooms (2026): What They Are, Pricing and Setup

Updated · HelpRange

Short answer: both are data rooms inside bigger platforms, and neither publishes a data room price. Egnyte sells Egnyte Document Room – launched in October 2023 – as an add-on (listed under Financial Services) to its file-sharing plans, which cost $22–$48 per user a month billed yearly; the add-on itself is quoted. HighQ, owned by Thomson Reuters since 2019, builds a virtual deal room as a configured site in HighQ Collaborate, with a Q&A module, group permissions, bidder sites, terms and conditions at login and DRM viewing; it is sold to law firms and banks on enterprise quotes. Below: what each does, how to set one up and the alternatives with public prices.

Egnyte data room

Egnyte's Document Room is a separate "secure enclave" for very sensitive files shared with partners – Egnyte's pricing page describes it as virtual document rooms that "require additional security and controls beyond what a traditional file-sharing service can provide". Points to know:

  • It is an add-on. You need an Egnyte plan and then Document Room through Egnyte's sales team; no price is published.
  • Dynamic watermarking appears in the Elite plan ($48 per user a month, billed yearly) and above.
  • Viewer-only users can see but not download, and watermarks apply to files they preview.
  • Per-user pricing for your own staff; check how outside parties are licensed.

Egnyte fits firms that already keep their documents in Egnyte and want a controlled area for a transaction or a regulated exchange without moving files to another vendor.

HighQ data room

In HighQ a virtual deal room is a Collaborate site set up for due diligence. Thomson Reuters' own set-up steps:

  1. A system administrator creates the site with the Files module on and People off, and adds a site administrator.
  2. The site goes into Preparation mode so nobody else sees it.
  3. Optional: client logo, Home and Activity modules, a Bidder site for auctions, a site password, IP restrictions and Terms & Conditions at login.
  4. Create security groups for each permission combination, upload files and set permissions, usually per folder.
  5. Turn on the Q&A module, add categories and give ask, approve or respond rights (bidders can only ask or approve).
  6. Choose download control: Online Viewer with DRM (no downloads) or PDFs protected with the FileOpen plug-in.
  7. Add users without invitations, assign groups, switch the site to Active, test by logging in as representative users, then send invitations.
  8. After closing, download the files as a zip and archive the site.

HighQ suits law firms that already run HighQ for matters and clients. For a one-off deal outside a firm that has it, licensing HighQ for one room is rarely practical.

If the room is for one transaction and Egnyte or HighQ is not already in-house, a stand-alone room is faster: per-person permissions, click-to-sign NDA before access, watermarks with each viewer's e-mail, page-by-page reading time and AI answers from the room's documents, files hosted in Frankfurt.
