Short answer: do not send the files. Share them through a secure viewer – a tracked link or a data room – where you switch off download and printing, require each investor to verify their e-mail, and stamp their e-mail on every page as a watermark. Investors still read every page in the browser, and you can revoke access at any time. A PDF permissions password is not enough: it only sets a flag that many PDF apps ignore. No tool can stop a screenshot or a phone photo, which is why the per-viewer watermark matters most: a leaked page shows who leaked it.
How to let investors read everything but keep nothing
- Convert to PDF and upload to a secure viewer – a document-sharing tool for a deck or a few files, a data room for diligence.
- Turn off download and printing for the link or the room. Investors read in the browser on any device.
- Require e-mail verification with a one-time code, or allow only named e-mails or domains – so a forwarded link does not open for someone else.
- Switch on a dynamic watermark with the viewer's e-mail (and date) on every page.
- Use one link or one guest account per investor, so analytics and revocation work per person.
- Add an NDA before access for diligence material, if your process needs one.
- Set an expiry date and revoke access when the round or deal closes.
- Keep the most sensitive files for later stages – a first-touch deck should not contain your full model.

How data rooms stop downloading and forwarding
Deal platforms use the same building blocks, usually called "view-only" permissions, plus information rights management (IRM) on files that are downloaded.
| Data room | View-only / no download | No print | Watermark | Downloaded files | Screenshots |
|---|---|---|---|---|---|
| Datasite | Yes | Yes | Yes | IRM: access can be revoked by role | Not stated |
| Intralinks | Secure viewer | "Protected / No Print" | User and time on IRM prints | IRM: copies stop opening when revoked | PrintScreen block for Office files on Windows only |
| iDeals | Yes (encrypted, PDF or original download levels) | Yes | E-mail, name, IP, time | Encrypted download level | Not described |
| Firmex | Yes (permission levels) | "Disable Print" | "Enforce Watermark" | Print disabled also on downloaded PDF/Office files | Not stated |
| Ansarada | View-only level | Yes | Dynamic, viewer identity | "Remote Doc-Destruct" | Says nothing can fully stop screenshots or photos |
| SecureDocs | View Only role | Printing counts as downloading | Name, e-mail, access time | Not stated | Not stated |
| HelpRange | Per room and per guest | Yes | Viewer's e-mail on every page | Download switched on or off per room and link; off by default for buyer folders | Screenshot protection on Unlimited – makes captures harder, cannot prevent a phone photo |

What no tool can stop
A reader can always photograph the screen or retype numbers. "Screenshot protection" in browsers and apps makes capture harder on some devices, never impossible – Ansarada and Microsoft say so in their own documentation. That is why the realistic goal is traceability and control: the viewer's e-mail on every page, one link per person, an activity log, and the ability to cut access the moment a deal changes. Investors rarely object to view-only access for diligence material; for a first-touch pitch deck, keep it simple (an e-mail check and a watermark) so you do not lose their attention.
Doing it in HelpRange
Upload the documents, create a link per investor (or a data room with one guest per investor), and in the link settings turn off download and printing, turn on e-mail verification and the watermark, and set an expiry. You see time spent on every page for each investor and can revoke any link. Pro ($39 per team a month) covers view-only links, watermarks and analytics; data rooms with NDA before access and screenshot protection are in Unlimited ($174 per team a month), or $199 once for a single 90-day deal with the Deal Room Pass. Your whole team, unlimited guests, one price.

FAQ
How can I stop investors from downloading or printing my documents?
Share them through a secure viewer or data room with download and printing turned off, e-mail verification, and a watermark with each investor's e-mail. They read every page in the browser; you can revoke access at any time.
Does a password on the PDF stop printing and copying?
Not reliably. The permissions password only sets a flag that each PDF app may or may not honour, and once the file is sent you cannot take it back or see who opened it.
Can I stop investors from forwarding a link?
Yes, in practice: require e-mail verification with a one-time code or an allow-list, so a forwarded link does not open for anyone else, and give each investor their own link.
Can I prevent screenshots?
No tool can fully prevent screenshots or phone photos. Screenshot protection makes capture harder; a per-viewer watermark makes any leaked page traceable to the person who leaked it.
Will investors accept view-only access?
For diligence material, view-only with a watermark is standard in data rooms. Keep the first-touch deck easy to open, and allow downloads only for documents that lawyers or accountants need to work on.
