Three kinds of "AI data room"
- Preparation AI – auto-indexing, categorising, redacting personal data, translating. Saves the sell-side team days before launch; the buyer never sees it.
- Q&A assistance – AI drafts answers to buyers' questions from the documents; a person approves them (Datasite's model). The formal Q&A process stays.
- Self-service answers for guests – a buyer or investor asks "what is the notice period in the lease?" and gets an answer with a page reference at once. Fewer routine questions reach you, but you need to trust that answers come only from the room.
What to ask before you switch AI on
- Are answers limited to the documents the person is allowed to see?
- Do answers cite the page, so the reader can check?
- Is customer data used to train models? (DealRoom and Datasite say no; ask each vendor.)
- Can you see which questions guests asked? It is a strong signal of what a buyer worries about.
- Can you turn guest AI off for a sensitive room?
- What are the limits – documents read, file size, requests per month?
AI Q&A in HelpRange – and its limits
In a HelpRange data room, guests can ask questions and get answers only from the room's documents, with page references; the questions and answers are kept for the room owner. Your team can ask the same over any folder, room or file, including questions about viewing statistics. Limits, stated plainly:
