What "unlimited users" usually leaves out
- Admins vs viewers. "Unlimited users" often means unlimited viewers; the people who upload, set permissions and answer questions are counted. iDeals Core, for example, has unlimited users but up to five administrators.
- Another meter takes over. Vendors without user fees usually price by something else: data size (Ansarada, Firmex, EthosData), deal volume (DealRoom) or term length (SecureDocs). Check that meter against your deal – scanned documents make per-GB plans expensive.
- Guest caps. Some plans cap outside parties (Digify 50–500 guests; Onehub 1,000 total users). A busy sale process with many bidders and their advisers can reach a few hundred people.
- Role changes. On Onehub a guest who becomes a Collaborator, or joins three workspaces, becomes a paid user.
